In this blog, we are going to describe how you can do a perfect LED dance show step by step from the beginning. So, let´s hope on. Let´s assume you already got your presentation materials, pictures, technical rider, and videos already prepared.
Communication and contract are the keys
When Your client already accepts your terms & conditions you must write a valid contract with all information such as event name, date, location, and company details and make sure it will come back with the signature of Your client sign it by your side and send it back to them. Really make sure this will happen because from our experience when the client will not pay you after the event this will be the most important document to have. Also, make sure you spoke with Your client about how will be paid for food and accommodation. Sometimes clients want to set fix amount per diem or just send bills after the event.
Additional staff: making led content, lasers, LED objects
At this point you know if you need to make any additional services such as making led content, lasers, and LED objects. Make sure you have enough time to do it and Your client will be happy with your final product.

Advance invoice
This really depends on Your personal preferences if you want to send an advance invoice or everything after the event. Personally, we always want at least 50% if we are working with clients without previous collaboration. In case we are working multiple times with someone this is not requested. In case we are doing really custom and big events (we can provide up to 100 LED suits, make laser show or LED screen videos) outside of European Union we require 100% payment in advance due it´s very difficult to litigate company that is not in EU.
Dancers / Fly tickets / car availability
When your contract is done, and you already received the money you will be buying the flight tickets for your team or Your client will provide them. Never ever buy fly tickets before the client sends you money! In case you go by car, it´s super easy and nothing needs to be arranged before.
Packing LED suits
When the date of Your event is already coming you must pack everything following your checklist and really do double even triple check if you didn´t forget anything. There is nothing worse in the events industry than you can´t perform Your show (we were so lucky that this never happened to us, due we always found some solution to how to do an event but we were already dealing with staff as missing batteries, back-pack or something else).

Event time
When you come to your final destination there will be a driver waiting for you or you will just take a taxi with your team and come to the event. In case there is a lot of time maybe you will be coming to accommodation first and after the event. You will have rehearsal (always have rehearsal when you do LED show) and check if everything is fine and just wait for Your show.

Packing suits after the event & leaving the event
When your show was done and everybody just loved it you can pack all your suits find your client make sure he/she was satisfied with everything, say goodbye and transport back to the hotel.
Flying back, unpack suits, and send an invoice
From home you need just to unpack your suits and test them, so everything will be working properly for the next gig. Double ask Your client if everything was ok, by email and send them a final invoice.
